Definition

Summary

Maintenance management software tracks maintenance data related to buyers' capital assets, namely machinery. Specifically, the software allows the buyer's maintenance department to operate more efficiently by providing up-to-date information regarding machines that need maintenance, the location of spare parts, the cost of repair versus maintenance and more. The key buyers of maintenance management software include manufacturers and government agencies. This report does not include facilities management software, nor does it include asset tracking software.

This Report Includes:

Warning Trends

Fed lowers rates for the first time in 2025

  • On September 17, the Federal Reserve’s Federal Open Market Committee (FOMC) voted to lower interest rates to a target range of 4.0% to 4.25%, down 0.25% from the rate it had been holding since November of last year.
  • Despite indications at the start of the year that steady reductions to the relatively high 4.25% to 4.5% rate were on the horizon, the Fed held off on rate cuts for much of the year due to concerns that the combination of higher tariffs and a reduction in borrowing costs could cause rebounding inflation.
  • The September cut to Fed interest rates signals a shift in this strategy, indicating that the Fed now considers weakening employment figures a greater threat than inflation. As a result, FOMC officials have also signaled that two additional rate cuts are likely before the end of the year in an effort to fight unemployment and stimulate the economy.
  • Declining Fed funds rates will provide relief to borrowers by lowering the market interest rates for consumer and business loans. This reduction in the cost of borrowing will reduce the cost of many banking and financial services, and may spur increases in demand across the economy.

Neutral

Inflation climbs above 3.0% for the first time in seven months

  • In January, the Consumer Price Index (CPI) 12-month inflation rate, the most commonly used measure of inflation, rose by 0.1% to 3.0%, the highest it has been since June 2024.
  • This uptick in inflation follows cuts to interest rates which may have added to consumer demand, fueling higher consumer prices.
  • Additionally, the threat of impending tariff hikes has driven preemptive stockpiling by importers, adding to demand and price growth across a range of industries in the United States.
  • While inflation is still low relative to previous years, sustained recent increases in inflation and the potential effects of tariffs, such as the recently implemented 10.0% on all Chinese goods, mean prices are still rising at a faster-than-normal pace.

Positive Trends

The DOJ proposes Google breakup in latest tech antitrust action

  • In August, Google was found guilty of operating as a monopoly and engaging in anti-competitive practices through the operation of its search engine business.
  • In response to this ruling the Department of Justice (DOJ) has stated it will seek a breakup of Google’s business segments, among other similarly harsh penalties. While the actual penalty Google receives must be approved by the judge, the DOJ’s proposed penalties signal a zero-tolerance policy toward tech monopolies.
  • During the last few years, the Federal government has significantly increased its enforcement actions against major technology companies in an effort to contest the high level of market share concentration in this sector.
  • These actions include high-profile anti-trust lawsuits against Amazon, Apple, and Meta, in addition to the case against Google. Consequently, the results of these lawsuits could significantly affect the structure of a wide range of tech markets.

Cost Analysis - Total Cost of Ownership for Maintenance Management Software

Total cost of ownership is Medium in the Maintenance Management Software market. The average cost of ownership differs depending on the contract but generally includes costs negotiated before the contract begins, costs billed during the contract period and unforeseen costs. For example, unforeseen costs in the form of Downtime may raise the total cost of ownership unexpectedly.

Negotiated Before

Installation

An on-premises model entails greater installation and setup costs wherein the buyer must typically purchase additional hardware to integrate the software into their IT network; however, a buyer that chooses the on-premises model can reduce their total cost of ownership by selecting a software package that integrates seamlessly with their IT network. Buyers purchasing software under a SaaS model do not require any hardware installation; they only need access to an internet connection.

Billed During

Support

Under a SaaS model, maintenance and support fees are incorporated into the benchmark price and charged monthly to the buyer. An on-premises model, on the other hand, requires a separate payment for maintenance and support fees, usually around 20.0% of the benchmark price per year.

Upgrades

Vendors heavily prioritize and invest in upgrading maintenance management software in order to remain competitive in the market. These additional upgrades may provide more value for buyers, although prices may increase in order to offset the costs of the research and development needed to develop the new product.

Training

Buyers and any employees who will be using the software will need to be trained by a qualified professional so that they are able to make the most of the product and avoid inefficiencies.

Unforeseen

Downtime

Downtime as a result of hardware or software issues increases the total cost of ownership because buyers will be unable to use the software to complete core tasks, including monitoring machinery and equipment that is in need of repair or inspection. Because many buyers purchase software under a subscription model, they still pay for the service even during downtime.

Vendor & Supply Chain Analysis

With low barriers to entry, the low and decreasing market share concentration is expected to continue in the next three years, which will benefit buyers by increasing market competition, lowering prices, and driving innovation.

Vendors source inputs from several upstream suppliers, including computer manufacturers, software publishers, computer and software wholesalers, and IT consultants. These upstream industries are highly saturated with vendors, which allows suppliers of maintenance management software to procure competitively priced inputs from an abundance of sources, meaning buyers are unlikely to experience disruptions in their access to maintenance management software.

Due to a high average profit margin coupled with rising demand for maintenance management services, vendors in this market exhibit a low level of financial risk and service disruptions.

The United States is a net importer of computers, meaning it imports more computers than it exports. While lower manufacturing costs abroad drive down prices for imported computers, relying on imports can lead to potential shortages or price increases if there are supply chain disruptions due to geopolitical tensions, trade disputes, or global crises.

Procurement Management KPIs for the Maintenance Management Software Market

Managing vendor performance throughout the contract period is easier when tracking specific key performance indicators (KPIs). For example, buyers should monitor Average Resolution Time and Customer Retention Rate. Buyers may experience better performance throughout their contracts if they establish service level agreements (SLAs) based on and other factors.

KPI Level of Importance (1-5) Measurements Key Considerations
Average Resolution Time

Total resolution time

Number of resolved tickets

The average resolution time represents the average amount of time it takes to resolve a support ticket.

Average resolution time should be compared to the uptime percentage to determine both how long service disruptions occur and how frequently, which will offer buyers a more comprehensive picture of a vendor's software and customer support.

Customer Retention Rate

Number of customers at start of period

Number of customers at end of period

Number of customers added within period

The customer retention rate represents the number of customers a company is able to retain over a set time frame.

Buyers purchasing software through an on-premises model should take greater consideration of this metric, as this large one-time investment to purchase a license for indefinite use of the software will be lost should buyers seek to switch providers.

With setup fees, in addition to the greater amount of time taken for evaluation and learning, buyers under a SaaS model may reduce their total cost of ownership by choosing vendors with high customer retention rates, which suggests reliable service.
